How we compare HVAC software
Every price and feature for HVAC software on this site is read from a vendor's own pages and worked out by the same rules for every tool.
Where the data comes from
We compare 22 HVAC software tools: 17 field-service tools and 5 general CRMs. For each one we read the pages the vendor publishes: its pricing page where it has one, its feature pages and its help center. We read them between October 13, 2026 and October 15, 2026.
Each tool in the comparison lists the pages its facts came from. Its pricing page is linked below. Where a page could not be read directly, we saw a search excerpt or an archived copy, and the tool's entry says so.
Prices are list prices in US dollars. Sales tax is not added.

How a price is worked out
Every price is a monthly figure for the whole team you set.
- Billed yearly shows the monthly price on a yearly plan. A tool with no yearly price shows month to month.
- Month to month means you can stop at the end of any month.
- When a tool lists no yearly price, we show its monthly price and say month to month. A price a page shows once, with no word on how it is billed, is month to month. A monthly price is never shown as a yearly one.
- A plan sold only with yearly billing does not fit when you ask for month to month.
- A per user plan costs the price of one user times your team size. If the plan has a smallest team, that is the least you pay for.
- A flat plan covers the users it includes. Where the vendor sells packages for bigger teams, such as 10 or 15 users, a team past the included users pays the price of the smallest package that holds it. Where the vendor sells extra users, each one is added at the vendor's price. Where it does neither, a larger team does not fit that plan.
- A plan with no user limit says unlimited users.
- ServiceM8 and Zoho FSM charge by the jobs or appointments a shop does in a month. The price is for the jobs a month you set, which starts at 100. A plan holds the jobs its price covers. A busier shop pays for the package that holds its jobs, or for each extra job where the vendor sells them, and does not fit a plan that sells neither. Zoho FSM counts appointments, so a job that takes two visits counts twice there.
- Free plans start switched off; turn them on to see them. When they are on, they show $0 and how many users they allow.
- A feature sold as an add-on is added to the price when you make it a must-have. An add-on is billed month to month unless the vendor lists a yearly price for it. Extra users are billed month to month too when the vendor lists one price for them under both billings. The price says which parts are billed month to month.
- An add-on that the vendor prices by team size is priced at the size of your team. Above the largest size the vendor lists, it has no price listed.
- When the vendor publishes no price for an add-on, no total can include it. The feature shows as an add-on with no price listed. A tool with public prices does not fit until you have asked the vendor. A tool sold by quote stays in its group, because the quote is where its price comes from.
- Price not confirmed means we could not confirm the price on the vendor's own US page. For example, we read an archived copy or a page for another country, or the vendor's own pages disagree.
Price on request
8 of the 22 tools publish no price. You get one from a sales conversation. They are not left out, and a missing price is never a mismatch.
They have their own group, after the tools with a public price. A tool is in that group when it has every must-have you picked on the plan shown, included or as an add-on. When it lacks one, it moves to the tools that don't fit, with the reason.
Two cards put the two kinds side by side: the one that covers the most among tools with a public price, and the one that covers the most among tools sold by quote.
Shop types and must-haves
Picking a shop type sets the team size and names what that kind of shop needs. It ranks the tools by how many of those needs each one covers. It never takes a tool out of the list.
- A need is covered when the plan includes it, or sells it as an add-on whose price is listed, which the price then holds. A need that is not confirmed, and an add-on with no price, are not covered.
- Every tool says how many of your shop's needs it covers and what it is missing.
- The three cards follow the shop type. The first is the lowest price among the plans that cover the most of its needs. The second is the plan with a public price that covers the most of them, with ties going to the plan that includes more features. The third is the same among the tools sold by quote.
- Closest fit puts the tool that covers the most needs first, then the lower price. Lowest price puts the lowest monthly total first, then the tool that covers more needs. Tools that tie go A to Z.
- Must-haves are different. You turn them on yourself, and a tool that lacks one does not fit. "Make these must-haves" turns on the needs of the shop type for you.
The four markers
- Included
- The vendor's pages show the feature on the plan shown.
- Add-on
- Sold on top of the plan. The price is printed when the vendor publishes one. When it does not, the line says the price is not listed.
- Not included
- Not offered on the plan shown. The line says when a higher plan has it.
- Not confirmed
- We could not find it on the vendor's pages. It never counts as meeting a must-have.
Each marker has its own shape and its own word. Color never carries the state.
How the list is ordered
- The list has three groups: tools with a public price that fit, tools sold by quote that have what you asked for, and tools that don't fit.
- Lowest price puts the lowest monthly total first. Covers the most puts the tool that includes the most of the 14 features first, then the lower price. With a shop type, Closest fit does the same for the needs of the shop.
- Tools that tie go A to Z. Nothing is placed by hand.
- Sorted by lowest price, a tool is shown on its cheapest plan that fits. When two plans cost the same, it is the one that includes more features.
- Sorted by what it covers, a tool is shown on the plan that includes the most features, the cheaper one when two include as many.
- The three cards are three different tools whenever three tools fit. A tool that an earlier card shows is skipped, and the next tool in that card's order is taken.
- A card can name a plan other than the one the list shows. See details opens the tool on the plan the card names, and the comparison says which plan the list shows.
- "Covers 9 of 14" counts the features the plan includes. Add-ons and features that are not confirmed are not counted.
- Tools that don't fit come with the most of your must-haves first, each with the reason it does not fit. A tool that doesn't fit is shown on the plan that comes closest.
What we have not done
- We have not used these products hands-on. Everything is read from what the vendors publish.
- We show no ratings and no scores.
- A page that only says "scheduling and dispatching" does not earn a dispatch board. The page has to show one. The test for each feature is on the home page.
